How the license works
Your ZonePayroll license is based on the number of unique employees paid within a calendar month, not the number of employees on any single payrun.
This means:
- The count includes every employee paid at any point in the month — across all payruns, including regular runs, off-cycle runs, and corrections.
- An employee only counts once per month, no matter how many times they're paid within that month.
- Employees paid in different pay groups, subsidiaries, or off-cycle runs within the same month are all combined into a single monthly total.
Example: If your license covers 50 employees, and you pay 48 employees in your regular fortnightly run plus 2 additional employees in a separate off-cycle correction earlier that month, your total unique count for the month is 50 — right at your limit. Adding even one more employee anywhere in that month would exceed it.
Checking your current license
You can view your current license allocation and usage at any time:
Payroll Admin tab > Payroll Setup > View License
This page shows your license limit.
Increasing your license
If your business is growing, or you regularly run off-cycle payments alongside your standard payrun, you may need a higher license limit to avoid hitting the unique employee cap.
To increase your license:
- Contact Zone & Co Support via the Customer Support Form and select ZonePayroll.
- Let us know how many employees you need the license to support.
- Once we've applied the increase on our end, go to Payroll Admin tab > Payroll Setup > View License then click Update License button to refresh it on your side. This step is required — your license won't reflect the new limit until it's updated here.
Good practice
If you regularly run off-cycle payments, corrections, or pay multiple employee groups within the same month, it's worth periodically checking your unique employee count against your license limit — especially before month-end — so you're not caught off guard mid-payrun.
