Overview
ZonePayroll comes with a set of out-of-the-box saved searches (often referred to as "reports" by customers). These out-of-the-box searches are locked and cannot be modified directly. To customize the data or view you need, you'll create your own copy and adjust that instead.
Before you customize
- Use "Save As" to create your own copy of the out-of-the-box saved search. Since the original is locked, this is the only way to build a customized version based on it.
- Give your copy a clear, distinguishable name (e.g., prefix with your company name or "Custom") so it's not confused with the out-of-the-box version.
Safe customization practices
- Adjust filters/criteria on your copy. Add or remove filters to narrow the data to what you need.
- Review visibility and sharing settings before saving. Payroll data is sensitive — pay rates, bank details, tax information, etc. Only share a customized saved search with roles or users who should have access to that data.
- Double-check formula fields or custom fields you add. Make sure any additional fields are necessary for the saved search's purpose, especially if they surface sensitive employee information.
- Test the output before relying on it. Run the customized saved search and confirm the results look correct and complete before using it for decision-making or sharing it with others.
- Keep track of what you've customized. A simple internal note of what was changed and why helps if the saved search needs revisiting or troubleshooting later.
What NOT to do
- Don't attempt to modify the out-of-the-box saved search directly — it's locked and changes won't be possible.
- Don't widen sharing/visibility settings on a payroll saved search without confirming who will gain access.
If something looks wrong
If a customized saved search returns unexpected, missing, or incorrect data, review your copy's filters and criteria against the original out-of-the-box version. If the issue persists, reach out to Zone & Co Support via the Customer Support Form and select ZonePayroll.
